How to Set Up a New Laptop Without Losing Your Old Files

A New Laptop Is Exciting — Until You Realise You Need to Move Everything

Getting a new laptop is great. But the moment you switch it on and realise all your files, photos, emails, and settings are still on the old one, the excitement can quickly turn to stress.

The good news: with the right approach, you can move everything across safely and get set up properly from day one. Here's how.

Before You Start: What You'll Need

  • Your old laptop (working, ideally)
  • Your new laptop
  • A USB drive or external hard drive (at least 64GB recommended)
  • Your Microsoft or Apple account login details
  • Your Wi-Fi password

Step 1: Back Up Your Old Laptop First

Before touching anything, back up your old laptop. This protects you if anything goes wrong during the transfer.

On Windows, plug in an external drive and use File History (Settings > Update & Security > Backup) or simply copy your important folders (Documents, Pictures, Downloads, Desktop) manually to the drive.

On Mac, use Time Machine with an external drive — it backs up everything automatically.

Step 2: Note Down What's Installed

Go through your old laptop and make a list of the software you use regularly — things like Microsoft Office, Adobe, Zoom, or any specialist programs. You'll need to reinstall these on the new laptop.

Step 3: Transfer Your Files

Copy your backed-up files from the external drive to the new laptop. The key folders to move are:

  • Documents — letters, spreadsheets, work files
  • Pictures — photos and images
  • Downloads — anything you've saved from the internet
  • Desktop — anything you kept on your desktop

If you use OneDrive (Microsoft) or iCloud (Apple), signing in on your new laptop will automatically sync many of your files — which makes this step much easier.

Step 4: Set Up Your Email

Add your email accounts to the Mail app or Outlook on your new laptop. If you use Gmail, Outlook.com, or a work email, you'll just need your email address and password. If you use a less common provider, you may need the server settings — your email provider's website will have these.

Step 5: Reinstall Your Software

Download and install the programs you noted in Step 2. Always download software from the official website — never from a random search result or pop-up.

Step 6: Update Windows (or macOS)

Once everything is set up, check for updates. On Windows, go to Settings > Windows Update. On Mac, go to System Settings > General > Software Update. Keeping your system updated is one of the best things you can do for security.
